Alexa Wi-Fi setup: what the process needs, and why it needs it

Whichever shape you have, the preparation is identical — the same two pieces of information and the same phone settings.

Most of the difficulty happens in the first ninety seconds, before the Echo is even plugged in — because the process asks for two pieces of information at exactly the moment they are most awkward to go and find.

What it comes down to

Two things: the name of your Wi-Fi network, and its password. Everything else is confirmation taps. Have those two to hand and the whole business takes a few minutes.

The two pieces of information everything depends on

Your network name

This is the name your Wi-Fi appears under in the list on your phone — something like BT-4F2A, SKY9C3D1, or whatever a previous occupant decided to call it. Manuals call it the SSID, which stands for service set identifier and means precisely the same thing. Where both words appear side by side, they are not two different settings.

Almost every router has it printed on a sticker on the base or back. If the network was renamed at some point the label will be out of date, in which case whatever your handset lists under Wi-Fi is the version to trust.

Your network password

Also on the label, described as the wireless key, network key or Wi-Fi password. Manufacturers favour long strings of mixed letters and numbers in small type, and the characters that cause the most trouble are the ones that look alike: a capital I against a lowercase l, a zero against a capital O, a five against an S.

Copying it onto paper first sounds fussy. It removes the single most common interruption in the whole process.

One further point that saves confusion later. Both of these are properties of your router, not of the speaker. If either changes — a new router, a renamed network, a password rotation — each connected item under the roof has to be told, and the speaker is simply the one with no screen to ask you about it.

The order

The order things happen in, from the speaker’s side

The sequence is fixed. Described from the speaker’s side rather than as instructions, it makes each stage recognisable when it arrives.

  1. An account exists first. An account exists before any speaker does — it holds device names, rooms and preferences. The Echo itself stores very little, which is why a replacement inherits your settings the moment it is added.
  2. The Echo is powered. A brand-new unit takes a minute or so to wake fully.
  3. The app begins listening. It searches over Bluetooth, which reaches a metre or so, so the phone and the speaker are near each other for this stage.
  4. The app hears the Echo. Nothing to do with your Wi-Fi has happened yet — the speaker is not on any network at this point.
  5. The network name and password cross over. This is where the two written-down details are used.
  6. The Echo joins and finishes alone. It checks in with the manufacturer's servers and usually downloads an update. Your phone can be put down.

Two facts follow from that. The phone and the Echo stay near each other until stage five completes, because the introduction runs across a close-quarters radio link rather than over the network. And the speaker stays on mains power throughout — an interruption partway through the last stage means the whole sequence runs again.

Expect a pause at the end. A brand-new Echo often sits quietly for several minutes after joining the network, unresponsive to anything said to it. It is downloading and installing that first update. That pause is normal, and it ends by itself.

A unit that had been running faultlessly in one home will not connect in another, and nothing is wrong with it. It is holding the previous address's network details, which do not exist here.

The introduction has to run again from the beginning, exactly as though the speaker were new. The same is true after a router is replaced, since a new router will nearly always put out a separate network name.

The replacement name and its password are the two details the process will ask for, and the speaker will then sit quietly for a few minutes at the end while it downloads whatever has changed since it was last online.

If you have changed your Wi-Fi password

The speaker keeps a copy of the old password in its own memory and has no way of learning the new one by itself. It will keep offering the old one indefinitely.

Fresh network details go in through the app, under the entry for that individual speaker. Each connected item under the roofhold that connects to Wi-Fi needs the same treatment after a password change — the speaker is simply the one that cannot tell you about it, having no screen.

This is also the reason a speaker being passed on to somebody else should be removed from your account first: until it is, it still holds your network password.

Each speaker is introduced separately and keeps its own record of the network details. There is no way to copy them across from one that is already working.

The second is usually quicker, because the app and its permissions are already sorted and you know where the password is written down.

Naming each speaker after its room during setup is worth the extra few seconds. The alternative is a list of identically named devices and no way to tell which is which when you want to change something six months later.

Why preparation

Why preparation matters more here than it should

It is fair to ask why a list of six things is necessary for a process the manufacturer describes as taking two minutes. The honest answer is that the two minutes assume everything is already in place, and for most households several things are not.

The information is stored somewhere inconvenient

Your Wi-Fi password lives on a sticker on a device that was installed by someone else, in a position chosen for the cable rather than for reading. Retrieving it is a small physical task involving a torch, reading glasses, and often kneeling. Doing that in advance, once, is straightforward. Doing it halfway through a process that has already started, while an app waits, is where people give up.

The phone settings are invisible until they matter

Nobody has ever opened their phone's settings to check whether an app may find nearby devices. The permission exists, it is off, and there is no reason to have thought about it — until an app reports finding nothing and gives no indication why. Checking it beforehand costs a minute. Discovering it afterwards costs considerably more, because the natural conclusion is that the hardware is faulty.

The process is not resumable in the way people expect

Modern software has trained us to expect that interruptions are harmless — close the app, come back later, everything is where you left it. The introduction between a phone and a speaker is not like that. It runs over a short-range radio link that closes when the app does, and an interruption during the final stage generally means beginning again.

Nothing here is hard. The effort simply sits at the front, and the cost of not front-loading it is disproportionate to the effort saved.

With the six items settled, the process becomes the short one the manufacturer describes, and the waiting at the end is the longest part of it. That part requires nothing of anyone.
